Safe celebrations: Butzbach's club mind looking for solutions!

On May 21, 2025, the “Administration meets Clubs” event took place in the councilors’ hall of the Butzbach town hall. Organized by the city of Butzbach and the Vereinsring der Stadt Butzbach e. V., the event served as a platform for exchange between the city administration and club representatives. Around 70 participants from various clubs showed their great interest in the topics discussed, especially in the safety aspects of events.

A central part of the event was the lecture by Mr. Dimitriadis from CM-SIKO. This addressed the challenges that can arise when planning and executing events. Both legal requirements and practical tips for the safety of participants were discussed. Mayor Huber emphasized the importance of cooperation between the city administration and the clubs to ensure high safety standards.

Safety aspects in focus

During the event, Mayor Huber introduced the responsible city administration employees in order to offer the representatives of the associations a direct contact person. Andreas Catlin, the chairman of the association ring, added the explanations about the importance of the safety precautions.

As already discussed in the past, security aspects are of great importance at major events. According to information from [im.nrw], municipalities record the necessary security precautions through an orientation framework that is used when planning and approving events. The current version of the framework applies in particular to events with increased risk potential and supports municipalities in both the implementation and follow-up of the events.

Coordination and responsibility

The concept for the security measures is based on proven practical experience. It includes a structured procedure that is intended to ensure security throughout the entire event. It is also recommended to set up central contact persons and coordination committees to clearly define responsibilities. This creates a single point of contact for organizers and improves the responsible authorities' sense of responsibility.

The orientation framework for security planning also stipulates that security concepts must be submitted to the municipality if an event has an increased risk potential. Such security concepts include structural, technical and organizational measures and are crucial for the approval of larger events.

To find out more about the specific templates and instructions, organizers can search their municipality's websites for current information. In Butzbach, the “Administration meets Clubs” event made an important contribution to raising awareness and preparing for safety precautions at future events.
